To change the print area in Excel, follow these steps:
-
Select the new area to print
Click and drag to highlight the cells you want to set as the new print area. -
Access the Print Area option
Go to the Page Layout tab on the Ribbon. -
Set the new print area
Click Print Area in the Page Setup group, then select Set Print Area. This will define only the highlighted cells for printing. -
Clear the existing print area (if needed)
If a previous print area exists, click Print Area and select Clear Print Area before setting the new one. This ensures only the new selection is printed. -
Check the print preview
Press Ctrl + P (Windows) or Command + P (Mac) to open the print preview. Confirm that the correct cells are included. -
Adjust for multiple print areas
You can add more areas without clearing the previous ones. Select the additional cells, click Print Area, then Add to Print Area. Excel will print all selected ranges together. -
Save the workbook
Saving the workbook retains the print area settings for future printing.
Note: On Mac, the Page Layout tab may display slightly differently, but the Print Area options remain in the same sequence.
