To filter multiple columns in Excel, follow these steps:
-
Enable Filtering
Select the range of data that you want to filter. Go to the Data tab on the ribbon and click Filter. Small drop-down arrows will appear at the top of each column. -
Filter a Single Column
Click the drop-down arrow in the first column you want to filter. Choose the criteria by checking or unchecking the boxes, or use Text Filters or Number Filters for custom conditions. Click OK to apply. -
Add a Second Column Filter
Click the drop-down arrow in the second column. Apply your desired filter criteria. Excel will display rows that satisfy both column filters simultaneously. -
Apply More Column Filters
Repeat the filtering process for additional columns. Excel will show only rows that meet all the selected criteria across multiple columns. -
Clear Filters
To remove all filters, go to the Data tab and click Clear. To remove a filter from a single column, click the drop-down arrow in that column and select Clear Filter From [Column Name].
Tips for Multiple Column Filtering
-
Use Custom Filters: For numeric or date columns, select Number Filters or Date Filters to filter by greater than, less than, or between ranges.
-
Use Advanced Filter: Go to Data → Advanced to filter using more complex conditions, like filtering for multiple criteria across multiple columns with OR logic.
-
Excel Tables: Convert your data into an Excel Table (Ctrl + T). Tables automatically include filters on all columns, and structured references make managing multiple column filters easier.
Example
Suppose you have a dataset with Region, Salesperson, and Revenue columns. You want to see all rows where Region = East and Revenue > 5000:
-
Click the drop-down on Region, select East, and click OK.
-
Click the drop-down on Revenue, choose Number Filters → Greater Than, enter 5000, and click OK.
-
Excel displays only the rows that meet both conditions.
Differences Between Windows and Mac
-
On Windows, the Data → Filter button works the same for all versions of Excel 2016 or later.
-
On Mac, the filter option is in the Data tab, but the drop-down menus and custom filter dialogues may look slightly different. The functionality remains the same.
