Removing used items from a dropdown list in Excel requires creating a dynamic list that updates automatically when an item is selected. Excel does not remove items from a standard dropdown automatically, but using formulas and helper columns, this can be achieved.
Step 1: Prepare Your List
Create a list of items that will appear in the dropdown. For example, in column A:

Drag this formula down for all items. This formula shows the item only if it hasn’t been used in the selection range D1:D10.
Step 3: Define a Dynamic Named Range
Go to the Formulas tab and select Name Manager.

AvailableItems.In the Refers to box, enter:
=FILTER($B$1:$B$100,$B$1:$B$100<>"")
This creates a dynamic range that only contains unused items.
Step 4: Apply the Dropdown
Select the cells where you want the dropdown.
Go to the Data tab → Data Validation.
Under Allow, select List.
In the Source box, enter:
=AvailableItems
Click OK.

On Mac, the steps for Name Manager and Data Validation are identical, but the ribbon layout may differ slightly.
